Books and stock, one file

An Etsy shop's money sits in three places: the orders file, the payment account and the bank, and a one-person shop squares them by hand. I built one workbook for the shop owner who does the books alone: sales, fees and refunds on one tab, stock that counts itself down from those sales, and a monthly profit you can hand straight to a tax return.

How do I keep my Etsy sales, expenses and stock in one place without paying for accounting software?

The working version, step by step.

  1. Paste your orders into Sales

    I set Sales up for one line per item sold. You type or paste the price, postage, discount, fees and any refund, and I made gross and net revenue formulas, so nothing else needs working out.

  2. Map your Etsy download

    The CSV mapping tab tells you which column of your Etsy download goes where. I checked every column name against live exports from my own shop, including the one catch: Etsy only puts the card processing fee in its order files, so the other fees come from your monthly statement.

  3. Log what you spend

    Expenses takes one line per purchase, with a category from a fixed list and the business share you claim. I made the category list strict, so every expense lands in the breakdown as well as in the monthly total.

  4. Let stock count itself

    Give each product the same SKU on Sales and Inventory, and I count the units sold from your orders. On hand, a reorder flag and the stock value update from there.

  5. Match each payout to the bank

    The Deposits tab puts what Etsy says it paid next to what landed in your account and shows any gap, so a missing payout shows up the week it happens.

  6. Read the month and the tax year

    Monthly summary builds twelve months of profit from the tabs above. The tax reconciliation page lays the year out the way a UK Self Assessment return asks for it and bridges your books to a US Form 1099-K.

Checked by recalculating it

Before listing it, I recalculated all 2,310 formulas across the nine tabs with a formula engine outside Excel, and none returned an error.

I then typed a sample shop into a copy: six orders, a refund, three expenses and three products. Every monthly figure came out the way I worked it by hand, including an April that shows a loss because of one large materials order.

A bug I found and fixed

My first build let you type a category that was not on the list. That expense counted in the monthly profit but disappeared from the category breakdown, so the two totals disagreed.

I changed the category and stock-type columns to accept only values from their lists, and Other covers anything that does not fit.

The parts that break

Etsy can rename a column. The mapping tab names the columns as they appeared in my own exports on 17 September 2026, and if yours differ, go by what the column means.

The tax page records the thresholds I read on gov.uk and irs.gov on 17 September 2026. Those figures change, so each one names its page for you to check against your own year.

If you already keep your books in accounting software, I would stay with it. This is for a shop owner doing the books in a spreadsheet.

Does it work in Google Sheets?

Import it through File, Import, Upload. Every formula in it uses a function Google Sheets supports, and I checked the results on a filled sample copy before I listed it.

Will it import my Etsy CSV automatically?

You paste the columns in yourself. The mapping tab shows which column of your Etsy download goes into each Sales column.

Is it tax advice?

It isn't tax advice. It lays your figures out the way a UK return and a US Form 1099-K ask for them, and names the government page behind every threshold.

Can I use it for another sales channel too?

Every sale has a channel column, so your own site or a second marketplace can sit alongside Etsy in the same file.
