Buyer replies written to Etsy's rules

Buyer messages arrive while you are making, packing or asleep, and the reply typed in a hurry is the one most likely to break an Etsy rule you did not know about. I wrote 42 replies for every stage of an order and checked each one against Etsy's own policies. They come as a PDF, a Word file and a plain text file you can paste into quick replies.

The working version, step by step.

  1. Answer questions before the sale

    The first 11 replies cover what buyers ask before they order, from whether an item is still available to custom quotes and wholesale enquiries. I included one that turns down a custom request politely, and one for a buyer asking for a lower price.

  2. Keep buyers posted after the order

    I wrote 12 replies for the stretch between the order and the parcel leaving, from the thank-you through proofs, progress updates and a delay notice to dispatch with or without tracking. One helps a buyer find a digital download, and two cover closing for a break, including an auto-reply for while you are away.

  3. Handle what goes wrong

    When something goes wrong there are 13 replies: late and lost parcels, tracking that says delivered, damage, the wrong item, returns, refunds, cancellations, address changes, stock that ran out after purchase and import charges. In the address reply I explain that a move to a different country means Etsy needs the order cancelled and placed again.

  4. Ask for a review the right way

    After delivery come 6 more: a check-in, the review request, public replies to a good and a low review, a private message after a low review and thanks for a repeat buyer. I wrote the review request to ask once, for an honest review, with nothing offered in return, because Etsy says sellers may not offer incentives for positive reviews.

  5. Fill the brackets and send

    Every gap is a placeholder in square brackets, such as [first name] or [tracking number], and I listed all 42 of them in the pack. Read each message in your own voice before you send it and change anything that does not sound like you.

  6. Save the ones you send most

    I put the same messages in a TXT file, one block each, ready to paste into Etsy quick replies through Messages, View all, Add new, Quick reply. The pack also holds 12 FAQ answers and fill-in wording for your About section and two shop announcements, one everyday and one for a break.

Checked across all three files

Before listing it, I ran a checker over the PDF, the Word file and the TXT. It passed 540 of 540 checks: the same 57 blocks in the same order with the same words in all three files, every placeholder in square brackets and in the list, and no link, email address, request to pay off Etsy, review incentive or promotion in any block.

To make sure the checker could fail, I fed it 12 bad messages on purpose, and it caught every one of them. The 57 blocks are the 42 replies, the 12 FAQ answers and the 3 pieces of shop wording.

The Etsy pages behind the rules

I read 18 of Etsy's own pages on 18 September 2026: the Seller and Buyer Policies, the House Rules on extortion and shilling, two Seller Handbook articles and twelve help pages. The pack lists the 17 rules the messages follow, each with the page it comes from.

Across the pack I kept payment on Etsy checkout and sent custom work through a private listing. None of them carries a link, an email address or a promotion, and the review request offers nothing in return.

What it leaves out

Listing descriptions are not in this pack, and neither are shop policies written as legal text, because I am not a lawyer and nothing here is legal advice.

Can I change the wording?

The README asks you to read each message in your own voice and change anything that does not sound like you. I supply the Word and TXT files so you can edit any of them before you save it.

How do I save them as Etsy quick replies?

Open any message, choose View all under the text box, then Add new and Quick reply. I laid out the TXT so you paste each ID and title line as the quick reply's title and the message under it as the text.

What if Etsy changes a rule?

Etsy's own page wins over anything in the pack. Message me from your order with the template ID and I will check that message against the current page.

Can I resell the templates?

You can use them in your own shop as many times as you like, but I ask you not to resell or share the files.
