Check what each shop reported and paid

Each month a shop sends a statement and a payment, and the stock on its shelf is still yours. I built this workbook so you can type those in once and then check any month. For a date you pick it shows the balance the statements imply, which statements arrived, what each shop should still hold and what needs checking.

The working version, step by step.

  1. Set up your shops and rates

    Enter shops and commission rates. Add rate changes from the first day of a month; earlier statements retain their applicable rate.

  2. Record the stock movements

    Add one line for the stock a shop already holds, each delivery, and each return of unsold stock to you. You add lines and never overwrite one, so the history stays.

  3. Type the statement and the payments

    Add a line for each statement line and each payment received. If a shop reports no sales, add one No sales reported line so the statement counts as received.

  4. Decide the doubtful lines

    A line that matches an earlier one waits for you. Type Keep for a real second line or Ignore for a repeat. Until you decide, the balance is marked Provisional.

  5. Pick the date and read the list

    Month end shows the balance, the missing statements, what each shop should hold and a short list to check. Change the date to look at an earlier month.

What the balance means

The balance is the payment the recorded statements imply, minus the payments you recorded. It is not an amount anyone has agreed is due, and a stock difference never becomes money.

It is marked Provisional while a statement is missing, a line is waiting or left out, or a limit is exceeded.

How a stock count is compared

A count is compared only at month end, once all required statements through the count date have arrived. Missing earlier statements leave the stock position unknown.

Any other count is kept as a record, and the tab says why it was not compared.

What you need

Microsoft 365 or Excel 2019 and later for Windows. The workbook uses plain formulas, with no macros or add-ins. I have only tested it in Excel for Windows.

Who should not buy this

If you run a shop that pays many suppliers, this workbook will not fit your work. I wrote it for a maker who leaves their own work in several shops.

If you want it to find sales a shop never reported, to connect to a shop or to Etsy, or to give tax or legal advice, it does none of those.

Does it connect to my shops or to Etsy?

It has no connection to any shop. You type the statement lines, payments and stock movements yourself, and nothing is sent or fetched from anywhere.

What if a shop sends nothing for a month?

The month shows as missing and its sales count as unknown. If the shop sent a statement reporting no sales, add one No sales reported line.

Can I change a shop's commission rate?

Add a row on Setup for the new rate, starting on the first day of a month. Mid-month changes are not supported. Earlier statements keep their applicable rate.

Will an earlier month always look the same?

It is rebuilt from your current records, so correcting an old line changes that month. Print or save it as a PDF for a copy that stays put.
